Understanding and Writing Application Letter


A.    Definition of Application Letter

A letter of application, also known as a cover letter, is a document sent with your resume to provide additional information on your skills and experience.

A letter of application typically provides detailed information on why are you are qualified for the job you are applying for. Effective application letters explain the reasons for your interest in the specific organization and identify your most relevant skills or experiences.

Your application letter should let the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow-up.


B.     The Purpose of writing Application Letter

The purpose of application letter is to apply for a particular position offered by a company or an organization . The purpose of a job application or résumé cover letter is to improve your chances of being called for an interview, by convincing the reader that you would be the best person for the job. If your letter is poorly written, the reader will not likely take the time to look at your résumé.

 

C.     Structure of Application Letter

1.      Employer contact information

Ø  Name ,Title ,company and addres

2.      Salutation

Ø  Greetings

Ø  Direction

3.      The Introductory Paragraph

Ø  Begin your letter by telling the reader where you saw the advertisement

4.      The next paragraphs (the body)

Ø  List your experience, qualifications and abilities

Ø  The position you will applying

5.      Closing paragraph

Ø  Conclude your letter and sign off with: Yours faithfully

Ø  Respectfully closing

6.      Signature

 

D.    Expression / Sentences

1.      Return Address

Ø  Name, address of the Applicant: (St, for Street, Rd  for Road, Sq for Square, Pl for Place, Ave for Avenue) 

2.       Letter Head/Heading

Ø  Place and Date (where and when it is written)

3.      Inside Address 

Ø  Name, Company and Job title (If any), Address, and postal code of the recipient

4.      Greeting / Salutation 

Ø  Dear Mr.Smith / Dear Human Resource Manager/ Dear Sir / Madam  (Unknown name)

5.      Introduction / Opening

Ø  Your Purpose, Position to apply, Source of the Information, your Interest.

6.      Body / Content of the Letter 

Ø  Experience. Qualification, Personality, Appreciation.

7.      Closing

Ø  Expectation for being called, contact number / email.

8.      Complimentary Close and Signature  =>

Ø  Short closing and signature
